Quick Tips for Setting Up a Campaign

Most of what determines whether a campaign returns usable sites is decided on the setup screen, before a single search runs. This covers the settings that quietly do the heavy lifting: de-duplication so you never pitch the same site twice, contact rules that skip Gmail addresses, and metric filters you can save as your team's default.

In this video, we're going to take you through the core setup steps when it comes to creating your first campaign. Now while certain parts of the campaign may change depending on the type and its strategy, the fundamental settings will remain the same. So let's take a look at how to set up a campaign together. First step is to give your campaign a name. And this can help you not only locate that campaign later on in the journey, but also quickly see what that campaign is focusing on or which strategy it's tied to. Below that, you can also add an optional description and it can be a great way to help your team understand the strategy behind this particular campaign.

You can also leverage campaign tags, which is great for identifying certain attributes related to that campaign. And it can also link back to dedicated reports, meaning you can track insights from this campaign based on its tag. A little lower is where you can choose what country you want your results to come from. Every campaign is limited to one country per search, and that's because each campaign gets its own set of outreach templates, which is designed to target a particular geolocation. In order for us to keep your conversations highly targeted and timely, that's why we make it one country per.

If you want to run a similar set of keywords across multiple campaigns, we recommend setting it up first in one country and using the clone feature to copy the settings and create a new one in your next chosen country. Below this, we have the TLD, and this gives you control over the type of domain that you're going to bring in. So if you're only focusing on dot coms or dot edu's for educational type sites, you can make that selection at this stage. If you're not looking to restrict this section, you can just keep it to all TLDs. Below this is collaborators, and this is where we can assign users who have been assigned as a inspector, personalizer, or a combination of both roles to this campaign.

It means that those dedicated roles whose only purpose is to review a list of sites and not engage with any other part of the tool can become assigned to this campaign to review this campaign's list of prospects. This is a feature that you do want to use, you just need to make sure your team have a user who is under the inspector, personalizer, or both role type. If so, you'll be able to select them from the section and you'll see their icon appear next to the campaign. Now under De-duplication, this whole section is designed to help you avoid sites you may have found in the past and we break into key sections.

So Exclude CRM partners is specifically referencing the sites your team have upgraded to be a partner. So this happens when you have a website you have an ongoing relationship with. So if you don't want to put any of those specific relationships in, we're going to keep this toggled on. When it says deduplicate across all projects, it means that if you have a website in another project, and it could be relevant for this project, if this is turned on, it will be filtered away. Now if you're using a project per client, it's often okay for each client to have the same website because it's usually for different purposes.

So it is an optional step but you can keep this toggled off. Now below that we also have dedupe within the current project and this one is very valuable to be kept on unless specifically required to be off. This just means that if I'm working under this project and I've already found a website in another campaign or this one, it will be automatically removed if it's relevant for the search. Now below this we do have some additional controls and the two that I would like to point out are approval workflow and recurring. Now approval workflow is a setting that you can set up if you have inspectors, personalizers, or those who are under a combination role, so both inspector and personalizer and it means you can add extra buttons to the workflow that help you approve or reject sites that have been pushed.

It means that where you have team members that are involved with the qualification, campaign managers can be able to have the ability to either approve or reject those sites. So it just gives you some extra controls when you are ensuring the quality of the sites that are progressing through the workflow. Now below that we have recurring and this is a very useful feature if you're planning just to run one batch of keywords and it simply means that every month until a specified date we're going to keep running new searches based on that batch of keywords.

So it means that every month you can expect a new set of results if you are working in a niche that is maybe more popular. If the niche is maybe less popular you may see fewer results returned but it can be a great way to capture extra leads without having to manually create a new campaign. Now on the right is going to be our contact finder controls. Anytime this is turned on it tells the system to visit the site that has been found and pull in the verified email IDs but below that we do have some extra controls. When it says ignore emails not at the same domain it simply means that if there is another email that was deemed as relevant to that website and is actually present on that site but doesn't match the same domain it won't be pulled in.

The same goes for emails that are under a free email provider like Gmail, Yahoo, Hotmail. Any email that is on a known free email provider won't be pulled in and if you choose to exclude sites with zero contacts this means that of course if there is a site where no valid contacts were found those sites will not be entered into the workflow. Now this could also exclude sites that may have a contact form. Now for a bit of background when Pitchbox runs a search we always prioritize contacts and if we cannot find a contact we will then default to a contact form which you can also manage within the system.

For more information on how to handle contact forms I will include a link within the lesson below but if you choose to exclude those sites it does also include those that have contact forms. Now at the bottom of your campaign setup screen there's also a section called metrics. Now this section get quality metrics means that for the sites that we find we're also going to pull in the data about those sites so it's listed next each one and that can help you make decisions later on but if we're going to use quality filter that specifically references these filters below and it means that we're going to use a certain system and we're going to set a range in which we will find sites so that means that if we are choosing to set our limit between 15 and 65 we won't pull any sites that have a domain rating that's out with our specified range.

It can be a really great way for you to control the quality of sites and reduce the time it takes to filter away unnecessary sites. Some extra controls that you have at this stage is the ability to save your filter presets so that means if you have certain filters for different clients or just one filter that you would like to standardize you can set that up at this stage so what we can do is we can save our current filters give it a name so if it's for client a or just our base metrics we can also set it as default meaning that if any team member creates a new campaign these metrics will be automatically applied and below that we can also choose whether it's going to be private so just for me as a user or for the whole team.
