How to Add Users
Adding a team member to Pitchbox takes a minute. Deciding what they can see is the part worth getting right. Role types and privilege toggles scope access to the exact areas someone works in, so a junior teammate can't reach data they have no business touching. Here's how to add users and lock down everything else.
Let's look at how we can add our team members into our Pitchbox account. So to get started, head to Settings, and then select Users. And from the menu, select Add New User. Now in this window, we're going to enter our team member's first name, last name, and the email account they want to use to access and manage their account. A little bit lower is where we can choose what kind of role that person will have. The role type will dictate the level of access that team member will have within the account. For example, if we go for an admin, that team member will have unrestricted access, meaning they can see every part of the tool and help make decisions when it comes to the management of that tool.
Or we also have a user role. Users can have certain areas of the tool marked as off-limits to them, and this permission can be set by a system admin. This is particularly useful if you have colleagues who are only responsible for certain areas of the workflow, and that means that they are only able to see the areas that are important to them. If you want to adjust a user's permission settings, we need to do that once they have already been added. Simply select Edit, Next, and Under User Privileges toggle on the areas of the tool you want them to have access to.
Once you're ready, select Next and then Press Save. However, beyond users and admins, we also have more dedicated role types from inspectors, personalizers, and a combination of both. Now these role types are very refined and they're there for team members whose primary role is just a review and qualify sites. They won't be sending emails and they won't be interacting with any other area of the tool. This gives them a consolidated view, specifically a list of sites that they need to qualify and progress to the next team member. When using these specific role types, we need to do a little bit of setup so they can get started.
Let's take a look at what that looks like. So, our first step is to locate the campaign that we want that inspector or personalizer or both to help us work on. We're going to head into the Settings menu, Campaign Settings, and then what we're trying to do is assign that personalizer or inspector as a collaborator to this account. That means they'll be able to see the inspect and personalize stage of the workflow. So, from here we're going to select Add Collaborators and you will be able to see any user who is added specifically as an inspector or personalizer or both.
So, once we select our colleague, they will be linked to this campaign. Let's take a look at what that view will look like for an inspector or a personalizer. When we log in as that role type, what you'll notice is they have a far more restrictive view. For example, if we look at the recent addition, they will be able to come into this workflow and you'll notice they don't see any of the campaign cards. What they do get is a list presented and you can see how many sites they have pending inspection and how many pending personalization. To begin working in this workflow, they will select this button and begin reviewing the sites.
Once they qualify them and move them forward, their list will return to zero and another colleague will be able to take on from their place. Now, if we take a very quick glance at the user creation page, all we need to do once we selected our role type is just select Next and the system will send that individual an automated message. That message will allow them to create their own password and sign into their account, ready to start building links alongside you.
