Launching Outreach: How to Handle Contact Forms
Some of the best sites you find won't publish an email address anywhere. Pitchbox picks up their contact form instead, and this shows how to run those prospects through the same sequence as everyone else: personalized message copied straight to the form, then tracked so follow-ups still arrive on schedule.
Let's take a look at how to handle contact forms inside of Pitchbox. Contact forms are usually a place on a website that allows you to speak with that site directly. Now, when we're finding websites, we automatically look for contacts and we will prioritize email IDs. But if we're not able to find any relevant or verified emails from that website, if there's a contact form, this is something the system will pull in automatically for you. And the way in which we communicate with the contact form is slightly different than contacting an email ID.
So let's take a look at what that process looks like. Now, the first step is to identify any websites where you have a contact form. And this will be indicated by an orange F. Now, if you have a site with zero contacts, but you have been able to find an alternative form that you would like to add against this opportunity, you just want to simply view it via inspect and personalize by selecting the opportunity and then selecting open. And from here, we want to find the section called contact form. Now, I already have a link in the section, but if you're adding one from scratch, just enter it into this box.
And once done, just close out the viewing window. Now, the rest of the process does remain the same. We want to set up a set of templates designed for this campaign and its target audience. And you'll do that in the standard way through the templates and email sequence section. But when it comes to composing a message to a contact form, the process is slightly different. Instead of selecting the opportunity from the left and then selecting preview and send or launch automation sequence. Instead, we want to head on over to the compose section against the opportunity.
Now, once you start to compose, it's going to take you to this dashboard and this is where we can draft the message that we're going to send to this contact form. So the first thing I want to do is come over to the compose box and we're going to select import template. And we want to pull in the first template that we would be sending through our email sequence. Now to clarify, we are not going to be launching any automated emails. We are simply pulling the same template that we would be using because it's relevant to this campaign and this target audience.
Once I've inserted the template, I then want to select preview and send. Now, what this section is going to do is show you what your template will look like with all of the custom data filled in for this target site. Now, from here, if we're happy with how the template looks, we want to select copy to clipboard and open form. So what this is going to do is copy the message with the custom data and it's going to take you directly to the contact form on that target website. Now, when you're on that website, you're going to paste the content of the message into the form.
And again, it's copying all of the custom data. So anything about the blog name, the recent blog post will all be carried forward. You'll enter any details that are required in order to submit that form. And once you've pressed send on that website, you will return back to Pitchbox and select mark as sent. So this updates the opportunity record telling the system that a message has been sent to this website, but not directly through Pitchbox. Now, what will happen is if that form does respond and you've used the same email address associated with this campaign's outreach, the response will come directly into the system and you'll be able to continue the relationship.
But let's say that that person doesn't respond on a set amount of days. What will then happen is the opportunity will return back in the compose section. But at this time, it will say compose number two. Let's take a quick look. So what you'll be looking out for is this section here under compose. But to the right of this, it will have either number two or number three. And this is telling you which attempt needs to now go out to that particular form. So again, the process can be repeated. We can select compose, import the second template from our sequence, head to the form, submit the second attempt, and then return a mark as sent within the system.
And again, if you have a third attempt and they don't respond the next amount of days, it will come back into the compose section of this campaign and say compose three. And once again, you can continue the process until you've exhausted all of your email attempts at which the opportunity will be marked as finished.
