How to Add Custom Fields

Every team tracks something the tool doesn't have a box for: who approved the payment, why a link was lost, what the client agreed to. Custom fields give that information a home, grouped by purpose and visible only where it's useful. You can also make a field mandatory, so nobody marks a win without answering it first.

Let's take a look at how to set up custom fields. Now, custom fields are a feature in Pitchbox that allows you to create placeholders for information you're tracking through your link-building journey. Now, to get started, head on over to Settings, and then select Custom Fields from the menu. Now, through your link-building, there might be a wide range of data that's important for your team to capture, and it can be helpful to organize that data into distinct groups based on its purpose. So to help you with that, we can set up a custom field group within your custom field dashboard.

To get started, just select Manage Groups, and then select Add New Group. Give it a name, give it an icon, and then select Save. When thinking about groups, it can often be useful to think about the purpose of that data. For example, I am going to be capturing a range of different data points, but they're all related to when I track a win. So I'm going to create a group just for tracking my win information. The same goes for information related to when I lose a link, and when I have data that's just specific for, say, my CRM. Now once you have your group in place and you want to add some fields, just select Add Field next to the group of choice.

This can either be an AI Power field, or it can be a standard Classic field. But let's get started with an example. So let's say when my team is tracking a win, I want them to tell me whether or not the payment has been made. So to get started, I'm going to select Add Field under the Win Details Group, and then go for Classic field option. I'm going to start with a name so the team knows what this information is all about. And then from here, I want to think about the information that needs to be tracked. Specifically, I want the team to tell me whether it has, hasn't, or whether there's maybe a delay.

So to make that process easier, I want to give my team a dropdown. So I'm going to head to the Type option, and then select the dropdown from the menu. Now, in the section, we're going to enter each of our variables on a new line, one after the other, something like this. Once I have my information, I then want to tell the system where I want that information to be visible. So to help you organize your data more neatly, and to prevent you from being too data heavy, we can break the data visibility based on when it's useful. So if we had to display options, I can toggle on different parts of the system where I want that information to be visible.

So in this example, I'm only asking this question when I secure a link. So I don't necessarily need it in my email template, or when I'm reviewing websites in the workflow. But I do need it in my Opportunity Details. I want it in my Inbox and from my Chasebox, and to be part of my wider CRM. And we also want that data to be persistent, even if I make a copy of that opportunity, the data moves with it. Another useful feature is to have that information be requested when a milestone has been changed. If you would like to set that up, just select the option from the menu.

So I want this to be triggered when I mark an opportunity as one. I want it to also be required, meaning that my team cannot progress that opportunity unless they have told me whether or not that invoice has been paid. So once you're happy with your selection, just select Add field and you'll now see it in your primary dashboard. So if you ever need to make any changes, again, just head back to the three dots, select Edit and update your visibility settings, and then select Update field. One thing to note is once you have created a field under a specific type, this cannot be changed under that field. If you do need to make any edits, simply delete the field and add a new one under the preferred type of choice.
