Intro to CSV Import
Importing a list you already have should be the easy part, and it is once you know how Pitchbox reads a spreadsheet. This covers the row structure for multiple contacts per domain, mapping your own columns to custom fields, and the merge setting that stops your notes appearing twice against every opportunity.
Let's take a look at how to set up a CSV import campaign. Now, this campaign type is designed to help you import your own data, which will be the foundation of your outreach. Let's take a look at how to set this up. A lot of the settings will be the same with a few key exceptions. The first is how we bring that data in. Now, of course, I'm not working with keywords because we're not running a live search. We are importing our own lists. Now, you can import data in one of two ways. The first is through a CSV file. Now, this is useful if you have a big list of websites and you have lots of different data points that you're tracking for each website.
But if you want to quickly just pull in a couple of domains or a couple of specific target pages, we can do it through the plain text option. So again, that's useful if you don't have any other data points that you're tracking and you just want to bring in a domain straight into your workflow. We also have this section up here which is called Merge Duplicate Personalization and Custom Field Values. There's more information on that within the question mark. Now, in essence, what this is helping you do is avoid duplicate sections of data when you bring in a file.
So let's look at a very quick example. So what you'll see here is that I'm bringing in one target domain with three different contacts pointing to that domain. But in addition, I have three personalization fields. These are unique sections of data that I would like to import into the system. I have one for pitch angle. I have one for target page URL, and I have one for notes. But what you'll notice is that all of this information is going to be for the same domain, except I have duplicates here. Now, if I import this file in with duplication turned off, it means that I will have something like this where I see AI trends comma AI trends.
So the same information is being repeated. And that's going to be the same for the URL and for the notes. Now, if I don't want this to happen and I want only a unique instance of each set of data, I want to keep that button turned on. And that means that when I import my website, I will see something like this. The domain with three contacts grouped, and I have one unique instance of each set of data under each of my personalization fields. Now that we have that covered, let's take a look at how to import our data. Now, I've organized mine into a bit of a neater format, but it doesn't need to be set up like this in order for the system to read it.
There are, however, a few setup steps that we'd recommend. If we look at a more basic format, let's only have one contact that I like to import per domain. Well, that means it's pretty easy to set up. We just want to make sure that we have our contact and our domain on the same row. But when we have multiple contacts for the same domain, the same logic can be applied. We just want to make sure that we list the domain against each contact. So what you'll see here is I'm going to import example.com and I have four contacts. Now, the system automatically will combine it based on the domain because we can only have one of each domain within a single campaign.
So that means that if we want Jack Smith to also be logged against example.com, we'll keep it on the same row and have the domain listed against the same contact, something like this. So you'll see that I have four contacts, for example.com, and four contacts for test.com. Now, it doesn't need to be grouped in this order, so long as we have the same domain against the contact, it can be in any order the system will still be able to pull it in. So what we want to do is either select or drag and drop our file into this section. And what this will ask you to do is to map the information in your spreadsheet to placeholders inside the system.
So everything on the left corresponds with a header from your spreadsheet. Domain, first name, last name, email address. Domain, first name, last name, email address. So that's already pre-captured. But on the right, we want to say where we want that data to be put within the system. Now, Pitchbox automatically has a range of default fields to capture standard information. So things like domain will be mapped to the website, first name to the first name field, same for the last name and same for the email address. But if you have data that you're tracking that isn't standard, so it's unique to you and your workflow, you need to tell the system what we need to do with it.
Now, if it's information that's not necessary to be imported, you ask the system to ignore that field. But if we do need that data for our workflow, we want to give it a new location. So to do that, just come over to the section here, click on the dropdown, and we're going to select new field. Now, if you have already imported a similar list already, this field may have been created from your previous attempt, which means you'll be able to find it within this dropdown. But if this is the first time that you're importing the data, we do need to create that new field from scratch.
And in this section is asking you how you want it to be named. So it's useful to go for something similar so you know what that data set is about. What you'll see from this example is that I am actually importing a list of contacts with each domain. Now, that stuff isn't actually necessary. If you are only working with a list of domains, Pitchbox is designed to help you with this step. So if you would like us to find verified email IDs for each of the domains that you're going to be importing, we're going to keep this section turned on. Now, if you're in a situation where you have your own contacts and you turn this on, it means that the system will try to find additional contacts that you don't already have on your list that meet the relevance requirements and are verified.
So we'll put them together against each opportunity. But if you would like to just work with what's on your spreadsheet and you don't want the system's help with finding contacts, we just make sure that that's turned off. And that means that we'll only prioritize what is in your actual spreadsheet. You do have the option to apply a quality filter. So this can be helpful if you have a large list of websites with different quality ranges. You can apply it at this stage and it means that if there are any sites on that spreadsheet that don't meet this criteria, we won't import it into the system.
So it's another way to help you make sure you're only ending up with the highest quality sites directly in your workflow. Once you're happy with your metrics, just select next and those sites will begin to be imported into the system. Let's take a look at what that looks like. Now that our import is complete, you can see that I have two domains that has been added. And against each of the domain, all of my contacts have been grouped together. So I have the four for example.com and I have the four for test.com. In addition to this, we also set up a new personalization field to capture my target page.
Now you can see that by scrolling to the right and then looking for the column target page. Now because we've created a new column for this, each of my target page URLs has been logged within this section and has been added against the correct website. So this logic can be applied to any new field that you're looking to create and you can also preset up those fields by going to settings and then selecting personalization fields. So here's the field that we just created earlier, but if you need to add in any more, you can select classic field, give it a name, choose what kind of data you're looking to track, whether it's text or numerical.
And then we're going to select add field. And that means that you're going to have a new column in your workflow where you can begin mapping data to the team.
